Discovery notes
Paste meeting notes (Granola, Fireflies, Plaud, your own). AI reads them, fills the profile, and flags discovery insights.
Add client
Confirm the client profile (general advice — facts only). Edit anything. Fields shaded orange are what a lead needs: name, phone, date of birth, occupation and income.
Only an admin can reassign the adviser on an existing client.

The client's portal — everything in one place
One secure link covering every active workflow, their cover, documents and details. The client verifies with an emailed code or their date of birth; while you're signed in, opening it gives you a read-only preview — no code needed.

Advanced underwriting options TPD basis · payment frequency · commission
Practice standard: life, TPD and trauma quoted together are structured as linked covers; buy-back and reinstatement are included unless you switch them off. Options only apply when the matching cover is quoted.
Quote comparison
Set the cover, then “Get quotes”.
Your insurer comparison appears here
Set the cover amounts on the left and run Get quotes — priced insurers list cheapest first.
Already have the insurer's quote? Drop the PDF anywhere on this page and we'll read it, check it against the market and build a client presentation.
Insights
General advice only — does not consider personal objectives, situation or needs. A draft for adviser review.

Commission defaults use the maximum rates — 60% upfront of first-year premium and 20% ongoing (trail). Override per policy in the policy card's Revenue section.
Weekly statements (RCTI)
Upload the licensee's weekly statement (RCTI) — the .xlsx carries the commission line items, the .pdf adds the payment summary (fees & net due); both for the same week merge into one record. Lines are matched to your recorded policies, and a matched "Insurance Initial" line marks that policy's upfront as paid ✓. Use + Add at the top right to upload one.

Partners

A partner's share is a percentage of the commission you earn on the clients they refer (brokerage, ex GST). Actual figures come from your weekly statements; expected figures from the in-force book. Reporting only: no invoices are raised.

Insurance business details

Shown on generated client documents (profile, schedule, quote pack) instead of the flask wordmark. PNG/SVG with transparency works best, under 300 KB.

About this workflow type
How this workflow type is named across the app: in the picker when you start a workflow, in the planner, and on this page. Leave a field blank to use the built-in wording.
Workflow templates — the steps each workflow starts with
The steps generated for every new workflow of each type. Edit titles, move steps, change the stage they gate, add or delete — newly created workflows follow the saved template (existing workflows keep their steps). Stages drive the automatic progression: when every step at a stage is ticked, the workflow advances.
| Stage | Title | Assign to | Due (days) |
|---|
Task types
The categories you can choose when you add or edit a task, and the filter on the Tasks page. Add one per line; names like "Document request" are tidied up for you. Steps that come from a workflow, and review requests from clients, keep their own category.
Workflow task timing
Steps fall due this many days after their stage becomes active. A step's own "Due (days)" in the template above takes priority when set; this is the fallback for steps with no offset of their own. Blank = no due date.
When steps open
A workflow's plan can have a lot of steps. Choose when a new workflow's steps turn up on the Tasks board, the Inbox and the dashboard. The rest wait on the workflow's Steps tab, marked Planned, where you can open any of them early. Applies to workflows created from now on; a running workflow keeps the way it was created.
When a client is added
Choose what happens after you add a client. Either way you land on their profile.
"Client type default" uses the workflow and template set for each client type below.
Client types — the default workflow each new client starts with
Every client has a type, chosen when you add them. Each type has a default workflow (its kind, template and owner), used whenever a workflow is started for a client of that type. Pick which type is pre-selected on the form.
Client creator applies when no fixed default is needed. Unassigned remains available.
| Label | Key | Workflow | Template | Owner | Default |
|---|
Import clients and policies
Bring in clients and policies from a CSV or Excel file, such as an export from your old system or an insurer. Choose the file, check what each sheet is and which column feeds which field, then Import. Clients go in first, so a policy in the same file can find its client. Clients you already have are filled in where details are missing, never overwritten.
Columns you don't map are ignored and never stored. You can also add clients one at a time with Add client, or let meetings and emails create work for you from Integrations (Granola, Fireflies, the Email agent).
Meeting notes
Connect Granola or Fireflies and your meetings are filed straight into client workflows, or send them from any other app with a webhook (below).
Webhooks & other apps
Paste this URL into Fireflies → Integrations → Webhooks (event: transcription completed), or into Zapier / Plaud / Otter as a POST webhook. Anyone with the URL can file meetings into your practice — treat it like a password.
For developers: the meeting format a webhook accepts
{

"url": "https://otter.ai/u/abc123"

Send it as a POST to the generic URL above.
Only source and id are required. A meeting is matched to a client by attendee
email, then by a name in the title. Anything that doesn't match waits in the Inbox for you to match it.

Forward insurer approvals, requirements, commission statements or client emails to this address. The agent sorts them, files the attachments and suggests what to do next in your Inbox.
